StandardAero Augusta is a Business Aviation MRO (Maintenance, Repair, Overhaul) facility, specialized to support an extensive range of aircraft models, including renowned brands such as Falcon, Hawker, Challenger, Gulfstream, and Embraer. With a significant 80,500 sq ft expansion opening in August 2025, we’re doubling our footprint at AGS. Our facility focuses on 22 models of aircraft on the Airframe side, while our Engine Shop performs comprehensive overhauls and diagnostics on turbofan engines and APUs.
This Administrative Assistant will provide highly confidential and professional administrative support to senior leadership and operations teams. Directly supporting our VP GM, this person with interact with internal and external stakeholders to help our operations run smoothly and efficiently. This role requires initiative, discretion, and strong organizational skills while working with sensitive company information. The ideal candidate will be creative, proactive, adaptable, and capable of managing multiple priorities efficiently and professionally.
What to expect in this role:
- Support operational teams with data entry, record-keeping, and report generation.
- Administer and track special projects as assigned by leadership.
- Manage calendars, schedule meetings, and coordinate travel arrangements.
- Prepare and format reports, presentations, and correspondence.
- Assist in preparing confidential documents, memos, and communications.
- Conduct research and compile data for reports and special projects.
- Organize and maintain department records, files, and confidential documents.
- Screen and direct phone calls, emails, and inquiries appropriately.
- Coordinate meetings, conference calls, and company events, ensuring all materials and logistics are in place.
- Assist with HR-related administrative tasks, including scheduling interviews and tracking employee information.
- Ensure adherence to company policies and procedures.
- Order office supplies for the departments and maintains necessary stock to meet department requirements.
- Provide backup support for the front desk and switchboard when needed.
- Develop thorough knowledge of departments’ administration in order to assist customers and employees.
Basic Qualifications:
- Minimum 3 years of administrative experience directly supporting executive leadership.
- Minimum 5 of work experience in a professional office environment.
- Advanced skills in Microsoft Office Suite, including professional PowerPoint presentation creation and utilizing Excel pivot tables.
- Prior experience with data entry, document formatting, and presentation design.
- High School Diploma or equivalent.
- Must be authorized to work in the U.S. without sponsorship.
Preferred Qualifications:
- Software experience with Concur, LinkedIn, Zoom, Yello, AS400, Oracle Fusion, and/or Box.
- Experience with social media marketing campaigns utilizing platforms such as Canva or Adobe.
- Exceptional organizational, multitasking, and problem-solving skills.
- Possesses strong business acumen exemplified through previous experience and/or presentations.
- Previous experience handling confidential information with discretion, i.e. a background in Healthcare, Finance, or previous Executive Assistance experience.
- Self-motivated, proactive, and adaptable in a fast-paced corporate environment.
